    Responsibilities

    NCI: As an Administrative Assistant for Army Program Executive Office (PEO) at Fort Belvoir, VA, you will serve as the Executive Assistant for the Project Manager (PM) Soldier Warrior and the Deputy Project Manager (DPM) effectively managing office administration, personnel, travel, and office management tasks. In assuming this position, you will be a critical contributor to meeting NCI's mission: To deliver innovative, cost-effective solutions and services that enable our customers to rapidly adapt to dynamic environments.

     

    ESSENTIAL FUNCTIONS:

     

    • Maintain PM and DPM calendars and manage PM and DPM's time efficiently when scheduling meetings, conferences and briefings.
    • Coordinate calendars and visits with external organizations and higher headquarters.
    • Organize, as required, ceremonial events, by arranging event locations, preparing scripts, invitations, and etc.
    • Prepare correspondence, reports, and other documents in format compliance with Army guidelines and reviews and corrects all formal correspondence prepared by others.
    • Greets and welcomes visitors and receives phone calls.

    • Read and act on all incoming correspondence.

    • Establish and maintain office records of various types that may be needed or will assist in the efficient operation of the office.

    • Provide advice and guidance to staff on clerical and administrative matters.

    • Schedule large meetings and events, possibly at distant locations, attending function to assist in administrative details.

    • Use a variety of office automation software in support of the organization including Microsoft Office, DTS, and other commercial and Army automated systems.

    • Complete, as back-up, travel arrangements for PM and DPM using the Defense Travel System (DTS) and contract travel agency, researching flight schedules, hotel accommodations, rental vehicles and prices to select the best mode of travel, with time constraints to achieve a successful mission for the traveler.
    • Prepare and/or assist, as back-up, preparation of vouchers to reconcile travel documents for reimbursement and accurate disbursement.
    • Process Joint Personnel Adjudication System (JPAS) requests. 

     

    Qualifications

    MINIMUM REQUIREMENTS:

     

    • Must hold and maintain a Secret security clearance.
    • Strong working knowledge on Microsoft Office tools to include Word, Excel, Project Outlook, and Power Point.
    • Education and Experience:
    • High School /GED AND > 10 years
    • Associates > 7 years
    • Bachelors in non Directly Related Field > 4 years
    • Bachelors in Directly Related Field > 1 years
    • Masters in non Directly Related Field > 0 years
    • Experience preparing correspondence to organizational guidelines.
    • Experience managing calendars in Outlook.
    • Experience coordinating meetings and events.
    • Experience arranging travel using military or commercial automation software.
    • Familiarity with Army rank structure.
