    Responsibilities

    ESSENTIAL FUNCTIONS BY LEVEL:

     

    PROGRAM CONTROL COORDINATOR

     

    • Supports the Program Management Office (PMO) in proposal development
    • Works as an integrated member of task order response teams writing sections (e.g., key personnel, staffing, past performance) and provides operational support during execution on task orders awarded
    • Assist with proposal efforts that require IT product bids in conjunction with services
    • Supports business development and capture activities, as required, and helps track the pipeline of opportunities with proposal and task order response coordination, scheduling, formatting, development, publishing, quality checking, and delivery
    • Works with internal procurement staff daily to source IT product bids, reviews and finalizes bids for quality check, coordinates internal approvals, contracts and pricing support; submits bid to government
    • Performs preliminary triage and analysis of the requirements, uploads information into internal knowledge management and CRM environments, and triggers notifications to internal stake-holders and business partners
    • Monitors and updates award data in database; runs ad hoc reports on awards for management review
    • Supports Project Managers on contractual issues by tracking project financials and requirements
    • Monitors database for ticklers on project milestone reporting, including deliverables and managing documents and files
    • Prepares documents and reports such as pipeline reports, weekly status reports, monthly status reports, and briefings
    • Assists in event planning, coordination, and management
    • Provides operations support including scheduling appointments, travel and reservations, receiving and screening mail, processing expense reports, and escorting and assisting visitors
    • Reviews monthly invoices from vendors/subcontractors for accuracy and initiates any changes, then sends through approval chain to Accounts Payable
    • Coordinates, monitors, and reports status of corporate activities/ requirements such as annual performance reviews
    • Provides financial data for quarterly Government Program Management Reviews (PMR) and monthly Internal Program Reviews
    • Maintains financial reports and tracking of revenue and expense for the PMO, i.e. updating accounting system
    • Performs at an intermediate level in all current MS Office applications including Word, PowerPoint, Excel, and Outlook

     

     

    PROGRAM CONTROL SPECIALIST III

     

    • Supports Program Management Office (PMO) with all aspects of support to include coordinating daily PMO activities, customer and teammate interface and coordination of all daily/weekly reporting activity to the end customer
    • Supports business development and capture activities within PMO, as required, and helps track the pipeline of opportunities related to task order response coordination, scheduling, formatting, development, publishing, quality checking, and delivery
    • Works with internal procurement staff daily regarding program IT product bids, reviews and finalizes bids for quality check, coordinates internal approvals, contracts and pricing support; submits bid to government
    • Performs preliminary analysis of the task order related requirements, uploads information into internal knowledge management system and triggers notifications to internal stake-holders and business partners

    Qualifications

    MINIMUM REQUIREMENTS:

         

    • Specialist: Associate’s Degree or equivalent related experience
    • I-IV: Bachelor’s Degree or equivalent related experience
    • Demonstrate the ability to manage multiple priorities simultaneously while maintaining customer focus, responsiveness and quality control in a fast-paced environment
    • Demonstrate excellent communication (oral and written) skills and ability to interact with personnel at all organizational levels within organization, our business partners and Government customers
    • Demonstrate excellent writing and communication skills and the ability to work well with others (preferably including senior executives) in a team environment
    • Demonstrate the ability to occasionally interface with external customer at Government off-site facilities
    • Desire to learn and grow; willingness to take on new challenges; and commitment to take procurement tasks successfully through to completion
    • Have the ability to work with a great team in a dynamic and professional environment
    • Have the ability and flexibility to travel up to 50% of the time

     

    EXPERIENCE REQUIRED BY LEVEL:

    • III: 7 – 12 Years

     

    PREFERRED EDUCATION AND EXPERIENCE:

    • At least two (2) years experience providing similar or related support is desired, preferably within the Federal Government contracting environment
    • At least two (2) years experience interfacing with external customers and Senior Executives in-person and over the phone
    • At least two (2) years experience with financial management background (Excel), knowledge management (SharePoint) and/or data management (Access) tools preferred
    • Proposal development to provide IT support services is a significant plus
